Chief Buildings | Procurement Notes

Short reads on frame specifications, bid exclusions and packing evidence for purchasing teams.

How to use these procurement notes

Read a note against the project file

Start by identifying the decision your team needs to make. A note on portal frame geometry can help prepare questions for the design discussion. A note on export packing belongs with the unloading plan and the destination handling budget. For each decision, write down the proposed building use, the responsible party and the file or drawing that contains the current assumption.

During the quotation stage

Keep an exclusions list beside the estimate. Mark each line as included, priced separately or open. If the supplier lists structural steel and cladding as a single total, ask for an explanation of the roof accessories, trim and fasteners carried in the price. A note that uses a sample span is an aid for discussing options. Record the site loads separately and have them confirmed for the actual project.

After the order is defined

Use the approved drawing revision to track open records. Before inspection, confirm which piece marks, coating checks and packing items the inspection scope covers. Ask where photographs or measurements will be recorded and who can accept a correction. After packing, compare the actual container list with the planned sequence for setting the first frames.

Keep a question with its evidence

A question such as whether the crane clearance is sufficient should point to a drawing, an operating envelope and the person responsible for resolving the interface. When reading a note from another destination, identify which assumptions transfer to your project and which require local review. A useful reading record ends with an owner and a dated next action for every issue that could change the order.

Store the response with the original note for future reference.
